Job Description Portfolio Manager Job Description VIRGINIA AND MARYLAND REAL ESTATE SALES LICENSE IS REQUIRED - NO EXCEPTIONS Does a challenging growth opportunity with a rapidly expanding company sound exciting to you? We are a rapidly growing, scattered site management company and need your help! We are a full-service real estate brokerage specializing in offering property management and other real estate solutions to the greater Ft Lauderdale and Palm Beach markets with an emphasis on the high-end single-family homes and condominiums but a diverse portfolio with rents ranging from $750 - $4,000/month. With substantial investor activity, our opportunity literally grows by the day! Our immediate opening is for a talented, portfolio manager to oversee our growing operations for a yet-to-be determined portfolio of properties - likely to be 100+ in number. The Portfolio Manager is meant to encapsulate the following as a guideline; however, additional duties may be required for the wellbeing of the market and our clientele: Main point of contact for all owners. Includes but not limited to: Full introduction and explanation of services rendered and accompanying mechanics of property management services. Includes continual updating of new owner package to better facilitate owner (client) education to maximize process and satisfaction. Facilitate and initiate new owner orientation packages. Data entry into AppFolio all new owners and properties Review of marketing and leasing efforts on a weekly basis to include traffic summary and pricing recommendations. Review of owner statements (as appropriate) to including accounting functionality, explanation(s) of account terminology, cash flow, maintenance concerns Relay any special instructions to staff regarding maintenance, showings, tenant usage, etc. Customer service and dispute resolution Owner appreciation via structured follow-up (formatted letters, personalized "Thank You" cards, phone calls Accounting including but not limited to: Review of owner statements and tenant ledgers for accuracy Post rents and permissible and/or instructed Corrections to owner accounts and/or tenant accounts as permissible and/or instructed Regular review of financials with respect to cash flow, revenue, expense aspects of operations Main conduit of all client and customer interactions including but not limited to: Dispute resolution and conflict resolution. Main "gatekeeper" to minimize impact of negative issues arising from day-to-day operations ie accounting issues, property issues, maintenance (billing) issues, tenant issues Retention efforts Resolution of issues stemming from HOA or condo association violations 24-hour, 7-day availability for emergency issues Facilitate the beginning of the sales process by conveying all appropriate owner and/or tenant information to licensed agent(s) Marketing including but not limited to (as appropriate and/or applicable): Taking high quality digital photography and narrated video Write marketing descriptions based on knowledge of property and available online data (or otherwise) Activate marketing in tandem with marketing department Disseminate marketing profile to all appropriate peripheral parties including but not limited to: current customers (tenants) looking for a change of housing venue, preferred relocation specialists, preferred realtors, preferred employers Oversight of appropriate data in AppFolio New contract acquisitions (as appropriate) via approved client acquisition methodology as well as grass roots efforts including guerilla marketing, networking, client referral, word-of-mouth referral Full collection process (rent collection) including but not limited to: Oversight of initial collections through expiration of grace period Systematic follow-up with tenants to garner payments Enforcement of collection policies including late fees, NSF fees, etc. Service of eviction notices in tandem with staff Continual collection of monies to ensure maximization of owner cash flow for entirety of clientele Manage legal process for all evictions and other issues as appropriate in tandem with ownership (as appropriate) Move-out dispositions and security deposit processing Manage collection process: 1st 30 days in-house efforts, then passed onto debt collection service via law firm Seek and garner new partners to promote both Real Estate Pros and Property Management via networking and business promotions Active involvement in business organizations designed to promote, educate, and support property management and real estate business Complete oversight of total operations including but not limited to: Work with and oversee staff to minimize issues ie a failure to comply with any appropriate ordinances, HOA/condo association bylaws, preventative maintenance Goal-setting Leasing/sales Oversee workflow of move-in / move-out processes Collections Legal issues Staff performance Client and customer service Retention Fiscal performance in accordance with budgeted goals Compliance with cooperation and support/guidance of ownership and staff assets Vendor relations and management Staff management including HR issues (hiring, documentation) Ensure compliance with Fair Housing Law and all other applicable laws governing our industry with cooperation and support/guidance of ownership and staff assets Proactive strategic planning for business growth, adjustment/implementation of model (under supervision of ownership), increase and implementation of revenue streams, human asset growth, market stimulation and growth VIRGINIA AND MARYLAND REAL ESTATE SALES LICENSE IS REQUIRED - NO EXCEPTIONS Company Description This Company is a National Property Management Company specializing in the scattered site management of single-family/condo style properties as well as smaller multi-family and commercial projects.
