The Lease Administration Analyst will be responsible for processing and maintaining leasing agreements including executing rent payments and agreements between Edelman Financial and landlords. Includes maintaining appropriate insurance certificates, reconciling operational expenses and ensuring the accuracy of all real estate and leasing documents. Responsibilities: Assist Director of Real Estate with Facilitating negotiations of new leases, sub-leases, renewals, and expansionsTravel to identify new locations to evaluate office space, assist with office set-up and conduct facilities audits; approximately 15% of time travelingReview red line lease documents for accuracy of calculations and basic language of economic terms; communicate any issues found to Director of Real Estate to correct problems and clarify incongruous language prior to document executionReview one-time, lease recurring, and adjustment billings each month with Director of Real Estate and accounting team to validate accounting, identify issues, and improve the processAssist with furniture layouts, fabric selection furniture orders, artwork, and office dA (C) corManage all aspects of temporary space to include site selection, billing review, tracking of expiration notices, and coordination with Planning Management and Site SupervisorPrepare yearly budgets for reviewUpdate and monitor properties' rent rolls and square footage, maintain stacking plans.Prepare and distribute critical date reports; maintain tickler system for tracking important dates and tasksTrack and update capital expenditures and track tenant improvement dollarsDevelop and track expansion budgets and accruals for reviewInvolved with all aspects of construction, including signs, space layouts, and designAbstract new leases and lease amendment - by providing clear, concise, complete descriptions of key lease clauses, critical dates, expenses-related issues, tenanta€ (TM) s/landlorda€ (TM) s rights, obligations and miscellaneous provisions; accurately enter completed abstract information in ProLease softwareRequest and process certificates of insurance and update SOVReconcile monthly rent statements from landlords and forward to Director for approvalCreate, administer, and maintain deferred rent schedules for accounting purposesAct as liaison between accounting and real estate on lease-related financial issues (billings, year-end recoveries true-up process); help resolve discrepanciesReview, track, and verify all facilities related invoicesWork closely with Property Managers on individual tenant mattersAssist Direct of Real Estate with special projectsNotarize documents as needed Requirements: A Bachelor's degree in Business administration, accounting/finance, or related fieldReal Estate Sales License preferred3-5 years property and/or lease administration or commercial real estate experience with administering and managing leasesMust have solid lease administration experience at various levels, including complex commercial lease terminology and strong understanding of CAM recoveriesFamiliarity with Generally Accepted Accounting Principles regarding deferred rentProficiency in Microsoft OfficeExcellent interpersonal skills, as necessary to work effectively with staff at all levelsAbility to handle stress and interact with others in a professional mannerAbility to independently prioritize, solve problems, and multi-task in a faced paced and constantly changing environmentMust be comfortable independently evaluating a situation, exercising judgment, and independently making a decisionThe individual identifies and resolves problems in a timely manner and gathers and analyzes information skillfullyPosition requires high level of responsibility regarding confidential information; must maintain confidentiality at all timesAbility to adapt to change when existing methods are no longer viable For more information: www.edelmanfinancial.com EOE.
