Program Coordinator will work with Performing Arts for Everyone staff on artist services, project coordination, marketing promotion, and ticketing, as well as general administrative tasks relating to the planning and execution of all community engagement events, including Millennium Stage, festivals, and other events as needed. Duties and Responsibilities: 25% Create Kennedy Center (KC) contracts from deal memos. Coordinate with Program Manager on creation of co-production and other unique agreements. Print signed contracts for execution and return executed contracts to artists. Review and mark up agency contracts, send to KC Legal staff, and facilitate discussion of any contract issues between agency and Legal. Create and Process check requests via Center's accounts payable procedures. 20% Coordinate marketing, including internal and external routing and approvals of advertising materials, gathering information for festival advertising materials, and supporting social media marketing initiatives. Assist with coordination of Press and PR for PAFE programs. 15% Coordinate travel, accommodations and ground transportation for artists and departmental staff. Create itineraries for artists. Negotiate with area hotels to secure the best rate available for KC departments or artists. 10% Responsible for reviewing all contracts for hospitality requirements, determines appropriate hospitality and negotiates and communicates approved requests with internal and external constituents. Handles all artist requests for backstage catering or vouchers for artist use of the KC Canteen and makes arrangements with Restaurant Associates if receptions for artists are required, and contacts the housekeeping department to facilitate clean up. 10% In coordination with Program Manager, create box office setups and coordinate ticketing. Oversee creation and distribution of guest artist passes for large-scale productions, festivals and events. 10% Handle reimbursement for travel expenses turned in by artists and KC staff. Handle all invoice processing for hospitality, hotel, travel, and miscellaneous department expenses as needed. 10% Assist with intern supervision, as needed. Delegate administrative tasks to intern and Production Assistant, as appropriate. Education/Experience: Two to three years of administrative experience in a performing arts venue. Experience with artist services, contracts, and social media marketing. Minimum Skills and/or Knowledge Required: Proficient in Microsoft Office suite. Must be able to execute fast paced and a large volume work independently. The John F.
