Job Description:/h3:
The Administrative Assistant position will support the bid, marketing and administrative functions. Prior experience creating marketing materials, bid and proposal development are a plus.
Objectives
:Track and coordinate incoming Invitation to Bid/RFPs;
:Attend pre:bid site visits,
:Communicate site visit findings to team, by email
:Work with Project manager to obtain trade scope sheets
:Maintain project number and bid list spreadsheet
:Setup up bid in Procore
:Distribute Invitation to Bid to potential subcontractors and suppliers through Procore, BidClerk, and/or Bluebook
:Creat marketing collateral to be used in proposals
:Update website
:Ensure that adequate trade/supplier coverage is obtained to meet bid requirements.
:Identify and contact additional subcontractors or suppliers, as needed
:Follow:up by phone with potential subcontractors and suppliers to determine interest in project
:Distribute amendments to potential subcontractors and suppliers
:Upload RFP, specifications, bid documents, drawings, amendments and any other provided information to SharePoint, Dropbox and Procore
:Review proposal requirements, and instructions
:Complete proposal documents for submission
:Submit final Proposal by due date and time, in manner required by RFP
:Maintain Subcontractor database in Procore. Enter new subcontractors and suppliers into Procore and update current contact information for existing subcontractors and suppliers.
:Communicate bid coverage status to project Leadership team
:Coordinate meetings
:Support executive staff
Skills and Experience
:High School Diploma required; college degree preferred
:Minimum of 3 years of administrative experience preferred; experience supporting a commercial construction company is a plus.
:Marketing experience a plus
:Website management a plus
:Ability to work in a dead:line driven environment
:Ability to manage time independently; self:starter
:Excellent attention to detail and organizational skills
:Good communicator, both written skills and verbal skills
:Ability to build relationships both internally and externally;
:Ability to read and interpret Prequalification Packages, Requests for Proposals (RFP), and Request for Information (RFI).
:Proficient in MS Excel, Word, Outlook, and SharePoint
:Proficient with Adobe or pdfs
:Procore experience preferred
Other Requirements
:Must have valid drivers license, reliable transportation, and insurance
